These are the Terms and Conditions for booking our wedding vehicles. Please read them carefully, as when making a booking you will be required to pay a deposit to secure your booking. By paying your deposit, you are accepting our terms and conditions, and you are agreeing to be bound by the terms and conditions below, without exception.
When you make your booking, it will refer to a date, time, a vehicle (s) and a chauffeur (s).
The booking price is the agreed amount once arrangements have been established, which includes routes, journey times, passengers, providing the vehicle (s), driver (s) and any extra requirements that you may have such as ribbons, flowers and drinks.
Changes to your booking
Minor changes to a booking may be made at any time up to 10 days prior to the wedding date; providing they are minor such as ribbon colour, colour of flowers and as such, will not incur any extra charges.
Greater changes to a booking such as dates, times, venue changes, pick-up points etc. should be notified as soon as possible. We will try our utmost to accommodate greater changes but they cannot be guaranteed. Should we not be able to accommodate your required changes to the booking, and providing your request was received at least 8 weeks prior to the wedding date then you have the right to cancel the booking and forfeit your deposit.
We reserve the right to charge extra where deemed necessary without exceptions for any agreed change.
We require a deposit of £50 per vehicle at the time of booking. This is non-refundable. We accept BACS and PayPal payments. We can consider cash if you are not able to pay by other methods. Your booking will be confirmed once all is agreed and the deposit is received. You will receive written confirmation of our agreement.
The remaining balance is to be paid in full no later than 8 weeks prior to the date of the wedding.
Cancellations need to be made in writing to our office address or by email to firstname.lastname@example.org.. Providing the cancellation notice is received by us at least 15 weeks prior to the wedding date then we will refund 50% of the booking charge. If we receive the cancellation notice in less than 15 weeks from the wedding date, then no refund will be made and 50% of the booking charge remains payable.
However, if you cancel and we can make another booking to substitute yours, we will refund you 70% of the booking fee paid, less 30% for our handling and admin charges.
Please be aware that should any outstanding balance not be paid in full 30 days before the wedding date we reserve the right to cancel the booking, in which case you will forfeit the deposit.
Your booked vehicle(s) will arrive in a clean and presentable condition and fully prepared for your special day. The vehicle (s) will be dressed in ribbons and bows in your chosen colours. However, we reserve the right to dress the vehicle (s) in neutral colours should we not be able to provide or match your requested choice.
We reserve the right to refuse entry into any of our vehicles to any person who is or appears to be under the influence of alcohol and or any other substance such causing unacceptable behaviour.
Any offensive, abusive or intimidating behaviour directed at the chauffeur by any person associated with the hirer or his/her guests will result in the withdrawal and termination of the hire. Any claim for compensation will not be accepted and our decision will be final.
Seating and seat belts
If we include Champagne as a “gift” for the bride and groom we reserve the right to provide our “gift” entirely at our discretion and or reserve the right to substitute Champagne for a white sparkling wine. Any quote, statement or other references to “Champagne” do not form any part of any booking and is provided as a “gift” and therefore excluded entirely from our contract.
Whenever seat belts are fitted our chauffeurs will ensure that all passengers use the seatbelts. Should passengers decline to use the seat belts Cupid Cars will not accept any responsibility for any consequences, whatsoever, including personal injury.
All passengers should remain seated at all times.
Vehicles will not carry more passengers than exceed the manufacturers specification.
No animals are allowed, apart from guide dogs (must be approved at the time of booking)
Damage to our vehicles
The hirer agrees that if any member of their party or guest causes damage or theft to or from our vehicles or incites others to cause damage or theft to our property the hirer will be held responsible and liable for all costs incurred from such actions.
Damage to the exterior or interior of vehicles are both the responsibility of the hirer. Total repair cost will include the cost of repair, loss of bookings or any other losses and/or incurred costs.
If at any point the chauffeur feels that access is restricted in any way and or could cause damage to the vehicle (s), then the chauffeur will stop at the nearest legal safe point available regardless of distance.
The chauffeur has the right to refuse on any surface that he feels might damage the vehicle. If you have an unmade road or uneven road surface then please inform us at the time of booking.
Should a person be taken unwell in the vehicle, a cleaning charge will be levied.
Should any of the above mentioned be used in a manner that causes damage or excess cleaning the hirer will be liable for any costs in making good, loss of bookings or any other losses and/or incurred costs.
It is your responsibility to ensure that all personal items are removed from the vehicle(s) at the end of the hire period. Once the car has left the location, it will not return with left items. Any item found in a vehicle will be held for 28 days and will be the responsibility of the hirer to collect such item(s).
You must not leave any valuables in the vehicle (s) at any time.
Please ensure that the wedding party and or their guests keep clothing clear of any part of the vehicle that could damage and or make their clothing dirty. We will not accept responsibility for damaged or dirty clothing.
We accept no responsibility for personal belongings or clothing that may become damaged or lost.
Inclement/adverse weather conditions
Whilst every effort will be taken to uphold our responsibilities and ensure your days runs smoothly, in the event of adverse weather, safety will be observed always and not compromised. In the event of adverse weather, it will be decided by us if it is safe to operate our vehicles in the conditions and at any given time. Should we feel that it is hazardous to operate in the given conditions, we will notify you accordingly and a full refund will be given with no further liability.
Whilst we make every effort to maintain our vehicles in excellent and reliable condition, unforeseen circumstances can arise. If the vehicle you have booked develops a fault that cannot be rectified in a timely manner, we will dispatch a second vehicle as a replacement. If the value of the replacement vehicle is less than the hired vehicle, the difference will be refunded. If the value of the replacement vehicle is greater there will be no extra charge.
You will be given the option to accept the replacement vehicle before it is dispatched. If you (the hirer) decline the replacement vehicle, then a full refund will be issued and our liability will be no further.
In the event of breakdown whilst en-route to or from any address we reserve the right to arrange alternative transport to the best of our ability and availability from a local provider.
You, the hirer hereby agrees that any compensation for en-route breakdown will be limited to the full value of the booking and no further liability will be accepted.
Whilst we allow plenty of time to arrive on time, and make every effort in planning the best routes for the day, sometimes circumstances beyond our control may arise, such as roadworks, accidents, road closures and local events can influence journey times. Any delays en-route to any location is beyond our control and are accepted as unforeseen circumstances and this is accepted by the hirer at the time of making their booking.
No liability can be accepted for any of the above.
Limitations of liability
Cupid Cars will not be held responsible for delays or cancellations of ceremonies or receptions, traffic congestion, poor weather conditions, incorrectly advised timings, incomplete address details, hotel incompetence or other circumstances outside our control.
We reserve the right to provide a substitute vehicle should the original booked vehicle develop a fault and or sustained damage that cannot be repaired in good time to complete the vehicles commitment (s).
Although we take great care of our vehicles and have them serviced on a regular basis, we cannot be held responsible for any unforeseen problems that may cause the vehicle to breakdown or malfunction prior to the hire period, on route to the wedding, collection address(es) or during the hire period.
Any claim for compensation will be strictly limited to the cost of the hire only and no other costs or expenses will be considered.
Our terms and conditions are in place for all parties’ mutual protection.
We reserve the right to amend any of these at any time, any confirmed bookings will be notified of any changes.
